Location:  Huntersville, NC Reports To:  Vice President of Finance and Operations
Job Summary:
Under limited supervision, performs general administrative and bookkeeping support functions of a responsible and confidential nature for the company.
Full Time
General Duties and Responsibilities:
Primary Tasks
  1. Serve as Notary Public
  2. Answer incoming phone calls and transfer to the appropriate WCDC staff
  3. Process US Mail including stamping and coding
  4. Process and distribution of company mailings (Christmas cards, brokerage information, etc.)
  5. Prepare bank deposits
  6. Company contact for Internet, phone, technology, office equipment
  7. Administrative support to the President/CEO
  8. Assist with President/CEO’s email and calendar management
  9. Maintain conference room calendar and set up for appropriate meetings
  10. Office supply inventory and ordering
  11. Year-end file preparation
  12. Property tax returns (check for and file as needed)
  13. Attend, take minutes, and disseminate meeting minutes of Wesley Board of Directors
  14. Meeting and training preparation—secure appropriate facilities, technology, food, travel, lodging
  15. Wesley Board of Directors’ reports for multi-family and asset management
  16. Lunch and Learn scheduling, minutes, and posting of minutes
  17. Update property records in Quick Base
  18. Assist with disposal of closing church items
  19. Assemble staff reports for Wesley Board of Directors’ meetings
  20. Other duties as assigned
Secondary Tasks
  1. Administrative support for Senior Director of Real Estate Services/Broker
Minimum Experience/Education:  High school diploma or GED equivalent plus demonstrated knowledge, skills, and abilities gained through at least three years of administrative support experience or an equivalent combination of education and experience. Bachelor’s Degree preferred. Notary Public certification required. Ability to proficiently use a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Quick Base, One Drive, and SharePoint. Ability to deal tactfully and effectively with fellow employees and the public, and the ability to respond quickly, efficiently, and pleasantly to clients. Good oral and written communication skills required. Critical thinking skills and process planning required.
