General Job Description
 
Job Title:  Accounting Clerk Date:  September 24, 2021
Location:  Huntersville, NC Reports To:  Vice President of Finance / Operation Services
 
Job Summary:
Under limited supervision, performs general accounting and administrative support functions of a responsible and confidential nature for the company.
Status:
Full Time (38 hours per week)
General Duties and Responsibilities:
Primary Tasks
  1. Process accounts payable (including tracking monthly bills spreadsheet)
  2. Manage onboarding process of new properties
  3. Process and maintain utility account transfers on all properties (including beginning accounts and terminating prior accounts)
  4. CAM charges of the WNCC Center
  5. Prepare additional rent true up reports
  6. Maintain accurate electronic (ebridge) and paper files as required by the company and the annual audit
  7. Prepare sales tax refunds
  8. Process staff expense and travel reports and associated payments
  9. Generate monthly invoices for clients according to payment schedule set forth in LOEs
  10. Manage work order flow including contacting vendors and collecting bids as needed
  11. Maintain accurate work order information on each property and project in Quick Base including work order requests
  12. Maintain vendor information (W9 and vendor insurance information for all properties managed by the company; utilize Quick Base as appropriate)
  13. Assign vendors for approved work orders
  14. Maintain and process web site donations
  15. Provide phone/email assistance on account inquiries/clarifications
  16. Year end 1099 preparation and processing
  17. Other duties as assigned
Secondary Tasks
  1. Answer incoming phone calls; welcome visitors as backup to the Administrative Specialist
Qualifications:
Minimum Experience/Education:  High school diploma or GED equivalent plus demonstrated knowledge, skills, and abilities gained through at least three years of bookkeeping experience or an equivalent combination of education and experience. Bachelor’s Degree preferred. Notary Public certification required.  Ability to proficiently use a variety of software packages, such as Microsoft Word, Quick Books, Quick Base, Outlook, PowerPoint, Excel, Quick Base, One Drive, and SharePoint. Ability to deal tactfully and effectively with fellow employees and the public, and the ability to respond quickly, efficiently, and pleasantly to clients. Good oral and written communication skills required. Critical thinking skills and process planning required.
