Title: Office Administrator
Status: 20 hours weekly
Salary: $20,000
General purpose of position: The Office Administrator is responsible for the efficient operation of the church office, including the support needed of clergy and program staff. The Office Administrator must maintain a professional relationship with the church staff and congregation and must be able to work autonomously. The Office Administrator must keep in strict confidence information acquired through the duties of this position, which may be personal in nature to church members and/or staff.
Responsibilities include:
1. Business/Office Operations
• Work hours will be 9am to 1pm, coinciding with church office hours (plus an hour a day to complete daily projects outside of church office hours)
• Manage technological and network hardware
• Manage overall office maintenance and operational awareness
• Maintain office files & equipment
• Manage supply and equipment ordering
• Manage usage of building, including leased parking spots, and church policy guidelines
• Contact with Trustees to manage repair persons and projects
• Prepare baptism, marriage and new member certificates and packets
• Ensure security system is turned off and on as needed
• Organize team meeting minutes, bulletins, trustee contracts and all other computer paper file needs
• Maintain membership records
• If appropriate and necessary, request volunteer assistance for church office duties from
Pastor, other staff members, or lay leadership.
2. Communication
- Strong communication skills – both oral and written
- Generate all communication from the church (mail, email, social media) following church policies
- Distribute communication received from the church office to appropriate staff/lay leadership
- Create bulletin, newsletter, brochures and pamphlets
- Submit weekly statistical report to Pastor and church leaders as needed
- Coordinate with Pastor to communicate about funeral, wedding and other building usage
- Strong design aesthetic
- Ability to write, edit, and proof material
- Excellent follow-up and organizational skills
- Coordinate church calendar in cooperation with Pastor, other staff, and lay leadership
- Update and print new church membership phone directories as needed
- Church organization management: completing documents for charge conference annual reports, statistical reports, insurance, tax and public reports (i.e. 501C3)
3. Representative of the Church
- Represent the church as the first person the public have contact with phone and door entry
- Comfortable dealing with a wide variety of individuals and issues
- Must be able to maintain confidentiality
- Key point of contact for business vendors and contractors when immediate repair to the property is needed
- Complete other duties as assigned by the Pastor
- Supervision: The Office Administrator reports to the Pastor in cooperation with the Staff Parish Relations Committee (SPRC). The SPRC will provide an annual evaluation of the Office Administrator’s performance. Attendance at weekly staff meetings and Church Council meetings is expected.
Desired Skills & Experience:
• Expert knowledge of Microsoft Office - including Word, Excel, PowerPoint and Publisher
• Although financial responsibilities are delegated to the Finance Committee, in case assistance is needed, previous experience with church finances, knowledge of Church Windows financial software is helpful. Capacity to work various programming.
• Basic desktop publishing/design skills
• Basic web page management
• Basic network maintenance and computer troubleshooting skills
• Church knowledge or previous experience supporting a Pastor preferred
Compensation and Benefits:
- Salary: $20,000
- Access to Continuing Education budget; pending SPRC review and approval
