Administrative Assistant at Memorial UMC
Memorial UMC is seeking a part-time (20 hour/week) Administrative Assistant to provide support for congregational needs including that of lay leadership, the pastors, and other staff as well as partner organizations. The ideal candidate will have enthusiasm for and the ability to communicate Memorial's mission and programs. Hourly rate is $21.50.
 
Qualifications

  • High school diploma or equivalent and al least three years office administration experience preferred
  • Proven communication skills (written and verbal) and detail oriented
  • Exceptional interpersonal skills and ability to work cooperatively with others in a team environment
  • Ability to function well in a busy environment with multiple interruptions
  • Maintains confidentiality of both verbal and written communications.
  • Must be computer literate, experience with Breeze desirable. Knowledge of Microsoft Office programs (Excel, Word, Outlook, PowerPoint) and social media platforms.
  • Familiarity with The United Methodist Church preferred
  • Fluency in English
  •  and Responsibilities:
Worship:
  • Draft, edit and prepare bulletins
  • Update "Easy Worship" slides with song, s  scriptures, and announcements
  • Send service lineup and bulletins
  • Type, print and distribute revisions to prayers, announcements, and other inserts
  • Act as liaison for worship related questions
  • Monitor and reorder supplies when needed(paraments, candle oil, wicks, etc.)
  • Maintain the Weekly Prayer List and send out Prayer Requests as approved by the Pastor
 
Administration :
  • Update membership rolls (hard copy and digital) and send group emails through Breeze
  • Manage Wix website and social media
  • Format, edit, and distribute monthly newsletter
  • Answer phones and door from front office
  • Assist staff and parishioners with equipment and supplies in the workroom. Monitor and reorder office supplies as needed.
  • Handle issues/concerns that may arise when pastor is away from the office
  • Maintain church calendar for all church and community partner events
  • Contact contractors as needed to address any building needs
  • Collect and distribute mail for staff, lay leadership, and partner organizations
  • Prepare year end reports in consultation with pastors and lay leaders
  • Maintain and update directory, including list of homebound members
  • Review building use requests and share with trustees and senior pastor for approval when necessary
  • Recruit, train, and supervise office volunteers
  • Maintain online accounts such as CPI, thermostats, etc. and schedule as needed for building use
  • File and update church records, policies, and procedures
  • Support church activities and groups in preparing and distributing materials and advertisements
  • Work with or Support Community Outreach Efforts of Memorial United Methodist
  • Work with Homebound and Shut-in members
  • Coordinate building use, including reservations, distribution of building keys, etc.
