TITLE:         Youth Ministry Administrative Assistant, Matthews United Methodist Church                   
FLSA STATUS: Full Time (35 hours) Non- Exempt
 
PRIMARY FUNCTION:
To support the Director and Associate Director of Youth Ministries in implementing a year-round youth ministry program for students in Grades 7 – 12 and college students in conjunction with the overall ministry of Matthews UMC. Provide assistance and functional support for all youth ministry programs.
 
SUPERVISION RECEIVED:
Works under the direction of, and in close cooperation with, the Director of Youth Ministries.
 
SUPERVISION EXERCISED:
Volunteers.
 
QUALIFICATIONS:
EDUCATION: Prefer a two year college degree or a high school degree with at least three years of experience.
 
EXPERIENCE: Experience in a professional office environment is preferred, as well as experience in organizing large group events and activities in a secular or church setting. Familiarity in working with youth is a plus.
 
SKILLS: Ability to work well with people of all ages; exercise sound, mature, Christian judgment; excellent communication skills, especially in the use of social media and electronic communications that appeals to the appropriate age demographic; flexible and organized; maintains confidentiality of sensitive information without exception. Ability to work in a team environment with all staff and key leaders within the organization to achieve the goals, principles and missions of the church.
 
CORE COMPETENCIES AND QUALIFICATIONS: Knowledge of Windows and MAC operating systems; Proficiency with Microsoft Word, Excel, Photoshop, and Access. Capacity to learn church database and scheduling software. Knowledge of social media and good proofreading skills. Creative design skills for publications and graphics.
 
PERFORMANCE RESPONSIBILITIES:
  1. Coordinate varied communications within the Youth Ministry, such as mailings, calendars, website, email, phone calling, publicity and social networking.
  2. Creates and developed all promotional materials, both print and online.
  3. Organize and maintain departmental paperwork, records and graphic files for all functions.
  4. Assist in financial tracking and release forms for various activities through the year.
  5. Manage program data generated from small groups and teams such as scheduling and attendance records.
  6. Schedule and coordinate the elements of trips and events, arrange transportation, accommodations and volunteer support. Work in conjunction with Youth Ministry Volunteer Coordinators.
  7. Promote and negotiate the most economical and beneficial support in all programs with respect to facilities, equipment and contracts (only Executive Director of Operations can sign official contracts for the church).
  1. Directly supports the Associate Director in all 10th - 12th grade activities, mission trips, etc.
  2. Directly supports the League Commissioner for MUMC Basketball (Nov-Feb) with registrations, scheduling, release forms & payment processing.
  3. Partner with other Youth Ministry Administrative support, as well as office support staff in areas of responsibility.
 
LINE OF AUTHORITY: Director of Youth Ministries and Associate Director of Youth Ministries
 
WORKING HOURS:  This is a full time (30 -35 hours per week) non-exempt hourly position.  Normal hours will be Monday – Thursday and every Sunday night from 4PM – 8PM (on mission training April - June till 9:30PM). Occasionally there will be evening and weekend activities that will require additional hours. Any hours over 40 in a work week will be compensated at the rate of time and one- half (overtime).
 
NOTE: The responsibilities identified above are not intended to be all-inclusive. There are numerous tasks essential to the successful fulfillment of our mission to Reach, Teach, Praise and Serve in the name of Christ; therefore, an employee may be assigned other related projects by the supervisor, team leader, or the Staff-Parish Relations Committee.
 
TERMS OF EMPLOYMENT:
At-Will; Full-time, Non-Exempt
 
EVALUATION:
Performance will be formally reviewed annually. The review of this job description will be a part of the annual review.
