2018 Housing Letter
TO: MEMBERS OF THE 2018 WESTERN NORTH CAROLINA CONFERENCE February 1, 2018
We are looking forward to welcoming you to Annual Conference at Lake Junaluska for the June 22‐24, 2018 session of the Western North Carolina Conference! Enclosed is information for your use in making lodging reservations. Please read the following material very carefully!
The clergy session will be Thursday afternoon, June 21.
The opening worship service for all lay and clergy members and guests is scheduled for
Friday morning, June 22.
The business session will begin following lunch. Annual Conference will adjourn on Sunday at noon.
Registration for housing for Annual Conference will be similar to last year. In order to request housing in one of the Junaluska‐owned facilities (not including the cottages), you will complete the Online Housing Request Form. The link will be available at www.ac2018.org between Wednesday, February 28, 2018 and Wednesday, March 14, 2018.
If you are unable to access the on‐line request form, you can obtain a paper copy by calling the reservations team at Lake Junaluska at 800‐222‐4930. Please do not complete duplicate forms.
Once all of the Housing Request Forms are received, persons will be randomly placed into available rooms. You will be notified by Friday, March 30, 2018. Placement into sleeping rooms is not affected by date the form is completed.
Reservations for a Lake Junaluska‐owned property:
The following six facilities are owned by Lake Junaluska Conference and Retreat Center
(see enclosed rate sheet):
The Terrace (3‐night minimum stay) Junaluska Apartments Mountainview Lodge
Lambuth Inn (3‐night minimum stay) Lakeside Lodge Lake Junaluska Campground
IF YOU STAY AT THE TERRACE OR LAMBUTH INN, your meals will be included in the daily rate, with the opportunity for you to designate, at the time of check‐in, which meals you will not need. Once that designation has been made, there will be no reduction in charge if you attend a special banquet elsewhere or miss a meal. Reservations at The Terrace and the Lambuth Inn require a three‐night minimum stay.
NON‐JUNALUSKA‐OWNED FACILITIES
If you are unable to obtain housing in one of the facilities listed above, or if you prefer to stay in a facility off the Junaluska grounds, contact the local Chamber of Commerce. They can be reached at 828‐456‐3021 or www.haywood‐nc.com (click “visit”, then “Lodging”).
HANDICAPPED CONDITIONS AND SPECIAL NEEDS
Lake Junaluska will process handicap and special needs requests. You should follow the instructions above. There is a place on the Housing Request Form to indicate if you have any special needs. Lodging near Stuart Auditorium is very limited. Many handicap accessible parking places are designated on the Junaluska campus. There are more requests for special consideration than can be honored. Please note: Only the special needs of the conference member, not those of his or her spouse or family member, may be taken into consideration.
Deaf interpretation will be provided at each worship service. Transcription services projected on a screen will be offered for all sessions. Please contact Kim Ingram by March 15 at (kingram@wnccumc.org) if there are any other special needs for consideration, including language interpretation.
ON‐SITE REGISTRATION
Registration for conference will open at 11:00 a.m. on Thursday, June 21, in The Terrace 3rd floor auditorium. An exact schedule will be available in the program and reports book in advance of conference. Please plan to arrive and register prior to the first session in order to receive a nametag and be eligible to participate.
Check‐in for all Lake Junaluska properties is at Bethea Welcome Center, 91 N Lakeshore Dr, Lake Junaluska, NC 28745 after 4:00 pm on the day of arrival. Check‐out is before 11:00 am on the day of departure at either the hotels or at Bethea Welcome Center if staying at the Lakeside Lodge, Junaluska Apartments, or Mountainview Lodge.
